What this notice covers
This notice explains how Zaptech AI Pvt Ltd, the company behind Hotel Rhythm, handles personal information submitted through the public website, including contact and demonstration requests. Customer account and hotel operational data are governed by the agreement and data-processing terms for the relevant deployment.
Information we collect
We collect the details you choose to provide, such as your name, work email, organisation, role, phone number, country, property profile, current systems and message. For abuse prevention, we may store a one-way hash derived from a request IP address; the public IP itself is not stored in the lead record.
Optional website analytics
With your permission, we use Google Analytics 4 to understand how visitors discover and use the public website and whether an enquiry was completed. We do not send form-field contents to analytics. You can decline analytics when first asked or reopen Analytics preferences in the website footer at any time. Google may process analytics data on our behalf under its service terms.
How we use it
We use this information to respond to your enquiry, prepare a relevant product demonstration, assess implementation fit, protect forms from abuse and keep an appropriate business record of the conversation. We do not sell website enquiry data or add it to an unrelated mailing list.
Legal basis and retention
Depending on your location, processing is based on your request, consent and our legitimate interest in operating a business-to-business product. We retain enquiry records only as long as reasonably needed for the conversation, legal obligations and legitimate business records, then delete or anonymise them.
Sharing and international handling
Information may be handled by service providers that support hosting, email delivery and product operations under appropriate contractual controls. The location of processing depends on the deployment and providers in use. We do not disclose your information to another hotel customer.
Your choices
You may ask for access, correction or deletion of website enquiry information, or withdraw consent where consent applies. Email info@hotelrhythm.com and state that your request concerns privacy.
Changes
We may update this notice as the website, deployment model or legal requirements change. The current version and date will remain available on this page.
